Driver and Vehicle Compliance Tracking for Limo Companies

Track license, insurance, and inspection expiry dates for every driver and vehicle — with automated alerts before documents expire.

DrivOQ's compliance module tracks document expiry dates for both drivers and vehicles, giving you a centralized view of your fleet's regulatory status. For drivers, you can store and track documents such as licenses, chauffeur permits, and background check clearances. For vehicles, you track insurance certificates, registration, and inspection reports.

Each document type has a configurable expiry date. A compliance dashboard shows at a glance which drivers and vehicles are fully compliant, which have documents expiring soon, and which have already expired. Color-coded status indicators make the current state visible without clicking into each individual record.

Automated compliance alerts run in the background and send notifications when document expiry dates are approaching — giving you advance warning to request renewals before documents lapse. This is critical for regulated operators who must maintain valid documentation for all drivers and vehicles in active service.

Frequently asked questions

How far in advance does the system alert me about expiring documents?

The automated compliance checker reviews expiry dates and sends notifications as configured. You can set the alert lead time to match your renewal cycle — for example, alerting 30 days and 7 days before expiry.

Can I store document files in DrivOQ?

Yes. Document records can include file uploads (PDF, image) stored securely in cloud storage. Signed download links are generated on demand so authorized users can retrieve documents when needed.

Does an expired document prevent a driver from being dispatched?

The AI assistant's assign_driver action includes a license expiry check and will flag a warning if the driver's license has expired. For auto-dispatch and manual assignment, expired compliance documents are shown on the driver profile as a visual warning.
